Privacy policy

What QualifyLoop collects, why, who receives it and how to exercise your rights.

Who this covers

This policy covers qualifyloop.com, app.qualifyloop.com and the QualifyLoop chat widget when it runs on our own site. When a customer installs the widget on their site, that customer decides how visitor data is used and is responsible for its notice and consent; we process that data on their behalf.

Legal basis

For visitors in the EU and UK, we rely on legitimate interests to measure our site and to identify the company visiting it, on performance of a contract for customers, and on your request when you chat with us or book a meeting. You can object at any time using the contact above.

AI processing

Chat messages are sent to Google's Gemini model on Vertex AI to generate replies. Tell us if you'd rather speak to a person. Don't share sensitive information in chat.

Follow-up email

If you give your email in a chat that ends without a booked meeting, you may receive up to three follow-up emails over five days. Booking a meeting cancels the remaining emails.

Who receives data

Our service providers are listed on our security page. We also use Google Analytics. Where a customer connects HubSpot, Salesforce, Google Calendar, Slack or Twilio, data flows to those services at the customer's direction. We don't sell personal data.

Where data is processed

Data is processed in the United States. See our security page for details.

Retention

Visitor records untouched for 24 months are deleted automatically. Customer account data is kept while the account is active and as needed for legal and billing obligations.

Your rights

Depending on where you live, you may have rights to access, correct, delete or port your data, to object to or restrict processing, and to complain to a data protection authority. California residents may also request to know and delete their data, and won't be discriminated against for exercising those rights. Email [email protected]. If you chatted on a customer's site, contact that customer first.
